How to Add Signature in Gmail

There are several options for how to create an effective sign-off experience in your Gmail account. Adding your own signature on desktop is a simple process.

  2. Click the “Gear” icon in the top right and select settings
  3. Scroll to the signature editor
  4. Input your desired text, photos, or links
  5. Scroll down and click save changes

Once you’ve inserted the signature on your desktop, make sure to put it everywhere else you’re sending emails for a cohesive experience. You’ll want to make the Gmail app signature same as desktop signatures in your account to ensure brand consistency. Luckily you can, in the ioS app by Gmail. There’s a check box option in the signature creator that allows you to be sure that your signature is inserted before all quoted text, to make sure that you are truly taking advantage of the marketing opportunity.
  6. Avoid common, off-brand mistakes by centralizing your email signature management. Marketers are often frustrated by employees including off-brand fonts, outdated banners, or email signature quotes that are unprofessional and distracting. By centralizing this process, marketers can standardize the branding and make sure key initiatives are promoted in every email.

Email signatures aren’t just for Gmail. You can take advantage of this incredible marketing opportunity no matter what email client you’re using. To add a signature in Outlook, follow these steps:

  1. Sign into Outlook
  2. Select “Settings” at the top of the page, and click “View all Outlook settings”

  4. Under “Email signature”, insert your signature format as desired
  5. Select “Save” when you’re done

Just like Gmail’s signature experience, this is a relatively simple process for one person to complete. However, if you’re looking to scale this across an organization, it’s simply unrealistic to ensure that everyone has completed this process and followed brand guidelines, let alone updated their banner regularly to make sure it’s not out of date.
